- What we do: TrnscrptAI records live audio from meetings, turns it into transcripts and summaries, and makes it easy for you to review and share.
- Who owns the data: You (our customer) remain in control of your meeting content. TrnscrptAI just processes and stores it on your behalf.
- What we collect: Account details, billing info, live audio recordings, transcripts/summaries, and basic usage data.
- How we use it: To provide the service, improve features, manage accounts, and—if you consent—send you marketing.
- How long we keep it: Meeting recordings and transcripts are stored for 12 months by default (longer if your subscription requires it). Account and billing data is kept for at least 6 years for legal reasons.
- Who we share with: Trusted service providers (e.g., Vercel, Supabase, Stripe, AssemblyAI, OpenAI). We never sell your data.
- Your rights: Access, correction, deletion, portability, restriction, objection, and consent withdrawal.

TrnscrptAI – Privacy Policy
Introduction
This Privacy Policy (“Policy”) explains how TrnscrptAI (“we”, “our”, “us”) collects and processes your personal information when you use our services.
TrnscrptAI is a meeting assistant platform that records live audio, generates transcripts, and provides concise summaries—helping you focus on your conversations.
This Policy applies to all use of TrnscrptAI services and websites. By using TrnscrptAI, you agree to the practices described in this Policy.

Our Role
- For meeting content (audio, transcripts, summaries): our customers act as data controllers and TrnscrptAI acts as data processor.
- For account, billing, support, and product analytics data: TrnscrptAI is the data controller.
Information We Collect
Information you provide
- Account details: name, email address, organisation.
- Payment details (via Stripe).
- Audio recordings of meetings and related transcripts/summaries.
- Support enquiries and correspondence.
Information we collect automatically
- Log and usage data (e.g., session activity, browser type, IP address).
- Cookie and tracking data (first-party only, see “Cookies” below).
Sensitive data
TrnscrptAI does not actively seek to collect special category data. However, as meeting content is user-generated, you are responsible for ensuring you have consent from participants before recording.
How We Use Your Information
We process your information to:
- Provide and improve the TrnscrptAI service.
- Manage accounts and billing.
- Deliver customer support.
- Communicate product updates.
- Analyse aggregate usage (not linked to individuals).
- Send marketing communications only where you have given consent.
- Comply with legal and regulatory obligations.
Sub-Processors and Third-Party Services
We rely on trusted third-party providers to deliver our services:
- Vercel – hosting (UK/EU region)
- Supabase – database, authentication, storage (EU region)
- Resend – transactional email (EU region)
- Stripe – payments (EU region)
- AssemblyAI – transcription (EU region)
- OpenAI – summarisation (EU region)
We only share the minimum data necessary for these providers to perform their services, under appropriate data processing terms.
International Transfers
At present, TrnscrptAI does not intentionally transfer data outside the UK/EEA. If in future transfers are required, we will rely on standard contractual clauses (SCCs) or equivalent safeguards.
Security
We implement industry-standard measures including:
- Encryption in transit and at rest.
- Role-based access controls and least privilege.
- Row-level security on databases.
- Monitoring and incident response procedures.
Data Retention
- Meeting audio, transcripts, and summaries: retained for 12 months by default, unless your subscription specifies longer.
- Account and billing records: retained for at least 6 years to comply with UK financial record-keeping laws.
- Backups: subject to the retention practices of Vercel and Supabase.
- Users may request deletion at any time (subject to legal requirements).
Your Rights
Under UK GDPR you have the following rights:
- Access to your data.
- Correction of inaccurate data.
- Deletion of data (“right to be forgotten”).
- Restriction of processing.
- Data portability.
- Objection to processing (including marketing).
- Withdrawal of consent at any time.
Requests can be made via hello@trnscrptai.com. We aim to respond within 30 days. We may refuse clearly unfounded or excessive requests as permitted by law.
Cookies
We use only first-party cookies to:
- Keep you logged in.
- Remember preferences.
- Analyse product performance.
Cookie lifetimes: up to 180 days. You may block cookies in your browser, but some features may not function.
Children
TrnscrptAI is not intended for individuals under 18 years of age. We do not knowingly collect data from children.
